Exhibitor and Sponsor Terms and Conditions
1. Exhibitor and sponsors’ attention is drawn to the details of sponsor and exhibitor opportunities as set out in “Connecting, Collaborating, and Influencing VODG Annual Conference 2023 Sponsorship and Exhibitor Opportunities” [The Brochure]. These include the offer of an alternative event or refund in the event of the conference not being able to be held in person, stand dimensions and numbers of representatives for different packages.
2. Where the exhibitor or sponsor is providing advertising copy, images, videos, logos and/or workshop content in connection with their sponsorship or exhibition, copy deadlines will apply. VODG will provide advance notice of these copy deadlines and cannot be held responsible in the event of such copy not being provided or being provided late.
3. Similar timetable arrangements will also apply to the exhibitor/sponsor notifying the names and contact details of representatives who will be attending on the day.
4. Payment must be received by VODG prior to the event and no refund is applicable in the event of failure to attend on the part of the sponsor/exhibitor.
5. Exhibitor/sponsor representatives are requested to advise us of any access and/or dietary requirements twenty business days prior to the conference to enable VODG to support as required.
6. All delegates, attendees and guests at the Venue must comply with the hotel's standard Terms & Conditions of use whilst on the premises. These reference any behaviour that the Venue deems “not appropriate”. The Venue reserves the right to refuse (in its absolute discretion) entry to any person.
7. Exhibitors and sponsors attention is drawn to VODG’s values and beliefs and our expectation that these are shared by commercial partners. VODG embraces equity and diversity and subscribes to the social model of disability, a way of viewing the world, developed by disabled people that says people are disabled by barriers in society, not by their impairment or difference. These values are further reflected in how we talk about our members and the people they support.
